Network cables connected to secure servers

Your staff are probably already using AI tools such as ChatGPT, Claude or Gemini, sometimes with company information. The question for business leaders is not whether to allow AI, but how to use it without exposing customer data, contracts or trade secrets.

Consumer accounts and business accounts are different

Free and personal AI accounts may use conversations to improve the provider’s models, depending on the provider and the user’s settings. Business plans and API access from the major providers generally do not train on your data by default and offer admin controls. Always read the current terms for the exact product you use.

Five questions to ask about any AI tool

  1. Does the provider train its models on our data, and can that be switched off?
  2. Where is our data stored and for how long?
  3. Who in our company can see conversations and uploaded files?
  4. Can we connect single sign-on and remove access when someone leaves?
  5. Does the provider offer the agreements our industry requires?

Write a short AI policy

A one-page policy prevents most problems. It should list the approved tools, the types of data that may and may not be entered, who approves new tools and how AI output is checked before it reaches customers.

  • Approved tools and accounts
  • Data that must never be entered, such as passwords and payment details
  • Rules for customer and employee personal information
  • A requirement to review AI output before it is sent or published

When to use private or custom AI

For sensitive processes, such as handling contracts, health information or financial records, a private AI setup gives more control. Options include enterprise AI services running in your own cloud account or open-source models hosted on your own infrastructure, with access controls and logging built in.

The safest approach is a deliberate one

Banning AI usually pushes people to use personal accounts quietly. Choosing approved tools, setting clear rules and building private assistants for sensitive work lets your team get the benefits of AI while you stay in control of your data.
