Developers reviewing code on large monitors

The number of companies offering AI automation has grown quickly, and many are new to the field. Choosing the right partner matters, because a poorly designed AI system can create more work than it saves. These are the questions we suggest asking any AI agency, including us.

Do they start with your process or their product?

A good AI partner asks how the work is done today, how much time it takes and what a mistake costs before recommending a tool. Be cautious if the answer to every problem is the same platform or a chatbot.

Can they show working results?

Ask for a live demonstration on documents or data similar to yours, not slides. A pilot on your own real examples is the best evidence of what an AI solution will do.

How do they handle mistakes and security?

  • Which AI providers they use and whether those providers train on your data
  • How access to your systems is limited
  • Where people approve or review AI decisions
  • How actions are logged and audited
  • What happens when the AI is unsure

Can they integrate with your systems?

AI creates the most value when it reads from and writes to the systems you already run, such as your ERP, CRM, accounting and email. An agency with real software engineering experience can build reliable integrations, not just prompts.

How do they price and measure success?

Look for a fixed-price pilot with clear success measures, such as hours saved, response time or error rate, agreed before work starts. Be careful with open-ended retainers that have no defined outcome.

Red flags

  • Promises of full automation with no human review
  • No clear answer on data privacy
  • Unwillingness to run a small pilot first
  • You would not own the code, prompts or data
  • No plan for monitoring and support after launch

A trustworthy AI partner will be happy to answer all of these in writing and will tell you when AI is not the right answer.
